ICT18008 - Supply of Audio Visual System Hardware and Associated Services

The Council is seeking to procure an Audio Visual Solution for primary use in its Council Chamber and other committee rooms.

The Solution should be capable of meeting the following objectives:
- Incorporate centralised software for the management of the solution;
- Provide individual delegate units for the purpose of audio communication, voting and attendance management;
- Contain presentation screens for displaying Council business, such as reports, presentations and the results of voting;
- Integrate with the existing public address system and hearing loop; and
- Offer additional sound enhancement to ensure full audio coverage throughout the Council chamber.

Supplier Days will be held on the 5th October 2018 and 12th October 2018 at County Hall, Matlock, DE4 3AG to view the Council Chamber and field any questions in regards to the Council’s requirement. Timeslots are not exclusive, so other Tenderers may also be present up to a maximum group size of 3. The available timeslots available will be as follows:
- 9:00am – 11:00am
- 11:30am – 1:30pm
- 2:00pm – 4:00pm

Timeslots will be provided on a first come first served basis upon receipt of preferred dates and times for attendance via the messaging feature of the Council’s e-tendering system. Please indicate your preferred date and time in order of preference as soon as possible, but in any case by no later than 5:00pm on 3rd October 2018 through the Council’s e-tendering system. Please include the names and number of attendees (maximum of 3). Once numbers and availability have been confirmed you will be informed of the date and time of your appointment, subject to availability.

This requirement has not been separated into lots as the Council has a single requirement for generation of efficiencies and the primary Contractor having full responsibility for delivery of the Solution.
