Contract Reference: BLGH16/ITT02 Listed below are the minimal requirements that Supplier(s) are expected to deliver. Whilst there is a certain amount of flexibility in the events activity, there are some key dates / activities which the Supplier(s) will need to plan around which include: ? Business Week – 3rd week in October ? LEP Conference – July annually ? Start up in Business event – Annual ? 2 x Export weeks The supplier(s) will provide comprehensive events management services including, but not restricted, to the following: ? Event content & audience profiling ? Venue identification and booking ? Technology identification & booking ? Specify/fund any equipment needed with the venue e.g. data projector, flip chart, wifi, etc. ? Creation of the Event information on the Business Lincolnshire Eventbrite Account ? Attendee identification and invitation management utilising the Business Lincolnshire Eventbrite account ? Work with the PR team to deliver event communications, including content and design of event materials – invitations, agendas & handouts, etc. ? Working with the PR contract to promote events and encourage participation ? Working with the PR contract to ensure that events are intelligence led and inline with their communications plan ? Creation of delegate packs, name badges/lanyards, etc. Including delegate lists, feedback forms, ? Sourcing of and arrangements for event facilitator including arrangement of accommodation Contract Extension 2022 - BLGH16/ITT02 Page 8 of 21 ? Provision of appropriate refreshments / hospitality (alcohol cannot be purchased with ERDF funds) ? Event registration and facilitation services at the event ? Compere the event on the day ? Provide and administer all AV equipment required during the event ? Promote the event during and prior on Business Lincolnshire Social Media platforms ? Effective Event Evaluation and Follow Up ? Updating of County Council CRM system – Tractivity - with event attendees ? Utilising the powerpoint slides introducing the Business Lincolnshire Growth Hub service at all events The Supplier(s) will put adequate processes in place to measure attendance and impact of events and will provide MI to the Contract Manager monthly which quantifies event activity. As a minimum, the Supplier(s) will be required to measure and report on the following: ? Number of event attendees ? Segmentation data which describes event attendees – such as geography, business size, business type, etc. ? Satisfaction of Event Attendees (based on the measures of satisfaction defined by BEIS) ? What went well ? What didn't go well ? What topics would delegates like to see covered at future events The suppliers will collate evaluation information from events on an event by event basis. In addition, the supplier(s) will maintain a cumulative events intelligence report which will be provided with the monthly report, so that we have an ongoing tool that can be used to inform future events delivery. The Supplier(s) must ensure that the event records are sufficient for ERDF audit purposes. For example, this means that attendees must provide a wet signature and registration documents must include start and end times, dates, venues and business names. In addition, all materials, registers, slides, etc., must also comply with ERDF publicity requirements. All event materials must be filed for audit purposes including photos. The Events Supplier(s) will work seamlessly with the Growth Hub Adviser and Associate Adviser Teams to enable effective tracking of SME beneficiary time at events as this time will count towards ERDF business support outputs which the Business Support Provider will collect. The Growth Hub Advisers will need to support the Events team by providing intelligence about the workshop topics business have demand for and also by actively promoting events to their clients. The Growth Hub Adviser Team will be actively encouraging SMEs that they are working with to become part of the Growth Hub network by encouraging them to give something back. This may be in the form of hosting an event, providing a site visit, facilitating a workshop or speaking at an event. The Advisers will capture this information on the Tractivity CRM and the Event Supplier will activity use this information in the development of the Events calendar. Contract Extension 2022 - BLGH16/ITT02 Page 9 of 21 The Growth Hub Adviser Team, and in particularly the pool of Associate Advisers, will be required to facilitate workshop events that focus on their particular area of speciality. The Events Supplier will be required to coordinate this activity and manage this as part of the wider Growth Hub events programme. The Supplier(s) will ensure appropriate management and administration support are included within the programme provision for delivery of the events activity. A full schedule of required Activity Outputs Measures that the Supplier(s) will deliver as a result of this activity can be found on page 10. The Supplier(s) will work with the Council to identify and provide added value and innovative activities which support the delivery of the Programme and Activity Outputs. Supplier(s) will deliver all activity under the Business Lincolnshire Growth Hub Brand. This means that the Supplier(s) will provide a white labelled service branded as the Business Lincolnshire Growth Hub which includes all forms of communications - email addresses, social media, output and event documentation, etc. For the avoidance of doubt, supplier logos will NOT be included on any of the delivery elements or promotional activity. When working on Growth Hub business, all event facilitators must present themselves as being part of the Business Lincolnshire Growth Hub and will not include 3rd party logos or reference their subcontracted organisation in the delivery of Growth Hub the Growth Hub event.
